This data exchange takes place automatically in a <strong>structured and machine-readable<\/strong> format.   <\/p>\n\n<p class=\"wp-block-paragraph\">Communication takes place via the <a href=\"https:\/\/www.applus-erp.de\/en\/knowledge\/glossary\/erp-system\/\">ERP systems<\/a> of the business partners &#8211; <strong>without media disruptions and in real time<\/strong>. Special EDI software converts the data into a <strong>standardized message format<\/strong> so that the recipient can read and process the information.<\/p>\n\n<p class=\"wp-block-paragraph\"><strong>The result:<\/strong> instead of a slow horse-drawn carriage on bumpy country lanes, your data reaches its destination in a lightning-fast sports car on a digital highway. Figuratively speaking, of course. <\/p>\n\n<h2 class=\"wp-block-heading\">EDI is indispensable in these cases<\/h2>\n\n<h3 class=\"wp-block-heading\">1. complex supply chains<\/h3>\n\n<p class=\"wp-block-paragraph\"><strong>The problem:<\/strong><br\/>Manual data and document processing is <strong>slow, error-prone and non-transparent<\/strong>. Difficulties in <g id=\"gid_2\">delivery planning and monitoring<\/g> along the entire <g id=\"gid_3\">supply chain<\/g> are therefore inevitable. However, manufacturers and suppliers can only work together smoothly if they <g id=\"gid_4\">coordinate<\/g> their processes <g id=\"gid_4\">optimally<\/g>. The more complex the supply chain, the more difficult this is.   <\/p>\n\n<p class=\"wp-block-paragraph\">The <a href=\"https:\/\/www.applus-erp.de\/wissen\/erp-anbieterauswahl\/blog-erp-einfuehrung-automobilbranche\/\">automotive industry<\/a> in particular is <strong>faced with major challenges<\/strong> in this area &#8211; such as coordinating just-in-time deliveries, processing orders and tracking stock levels. They receive the order information in a standardized format that their systems process immediately in accordance with <strong>industry standards<\/strong>. At the same time, the manufacturer can see in real time when the deliveries will arrive and whether there could be any bottlenecks. In this way, production runs as <strong>smoothly as a well-oiled clock<\/strong> in which all the cogs mesh seamlessly.   <\/p>\n\n<div class=\"wp-block-group summary-block-outline is-layout-constrained wp-block-group-is-layout-constrained\">\n<p class=\"wp-block-paragraph\"><strong>The advantages of EDI summarized:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>EDI ensures error-free and trouble-free communication between suppliers and producers.<\/li>\n\n\n\n<li>As dispatch and receipt data can be viewed in the system at any time, EDI gives you full control over the data flow.<\/li>\n\n\n\n<li>You can monitor your supply chains in real time and react quickly to problems.<\/li>\n\n\n\n<li>The delay-free process flow improves your business relationships and keeps you competitive.<\/li>\n<\/ul>\n<\/div>\n\n<h3 class=\"wp-block-heading\">2. large transaction volumes<\/h3>\n\n<p class=\"wp-block-paragraph\"><strong>The problem:<\/strong><br\/>If your company has to process large volumes of business documents on a daily basis, manual processes are no longer sufficient. Manually entering data into the ERP system is far too <strong>time-consuming, error-prone and costly<\/strong>. The higher the transaction volume, the greater the risk of typing errors.  <\/p>\n\n<p class=\"wp-block-paragraph\">Imagine one of your employees having to manually enter hundreds of orders, invoices and delivery bills into the ERP system every day. As even the slightest transposed number can have <g id=\"gid_0\">far-reaching consequences<\/g>, every single entry requires maximum concentration. However, after several hours of monotonous work, it is quite normal and only human to <g id=\"gid_2\">lose<\/g> <g id=\"gid_1\">concentration <\/g>. It also offers <strong>improved transparency<\/strong> regarding stock levels and delivery status.  <\/p>\n\n<div class=\"wp-block-group summary-block-outline is-layout-constrained wp-block-group-is-layout-constrained\">\n<p class=\"wp-block-paragraph\"><strong>The advantages of EDI summarized:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>As data processing is automated, you can process high transaction volumes quickly and without errors.<\/li>\n\n\n\n<li>Processes run smoothly, allowing you to avoid delays and save costs.<\/li>\n\n\n\n<li>Employees can use their skills for more demanding tasks.<\/li>\n\n\n\n<li>As many business partners now require EDI for collaboration, your company remains fit for the future.  <\/li>\n<\/ul>\n<\/div>\n\n<h3 class=\"wp-block-heading\">3. e-invoicing requirements<\/h3>\n\n<p class=\"wp-block-paragraph\"><strong>The problem:<\/strong><br\/>More and more legal regulations require companies to be able to both send and receive e-invoices <strong>in EU-compliant formats<\/strong>. This electronic exchange of invoices is also known as <strong>e-invoicing <\/strong>. Only EU-compliant formats such as XRechnung or ZUGFeRD are permitted &#8211; a PDF by email is not considered an electronic invoice. If you do business with public clients, you have <strong>had<\/strong> to issue an e-invoice <strong>since 2020<\/strong>.   <\/p>\n\n<p class=\"wp-block-paragraph\">Growth Opportunities <strong>Act<\/strong><br\/>The Growth Opportunities Act, which was passed in 2024, now states that all German companies will have to exchange e-invoices <strong>for B2B transactions<\/strong> in the near future. Among other things, the government wants to prevent VAT fraud and reduce the administrative burden. This, in turn, is intended to promote economic growth.  <\/p>\n\n<p class=\"wp-block-paragraph\"><strong>ViDA<\/strong><br\/>The EU-wide <strong>VAT in the Digital Age (Vi<\/strong> <strong>DA<\/strong>) legislative package is also due to come into force in 2028. The aim is to adapt VAT regulations to the digital age in such a way that VAT fraud within the EU is made significantly more difficult. <\/p>\n\n<p class=\"wp-block-paragraph\">  ViDA will oblige companies to send and receive electronic invoices in the special <strong>standardized EN-16931 format<\/strong> for cross-border transactions. This will increase the importance of e-invoicing in<strong> international business relationships<\/strong>. <\/p>\n\n<p class=\"wp-block-paragraph\"><strong>The solution:<\/strong><br\/>No matter what legal requirements you face in the future: With EDI, you can always send e-invoices <strong>in a legally compliant format<\/strong> directly via the ERP system. Special <strong>intermediate mapping tools<\/strong> take care of the translation between the sending and receiving companies. To ensure that you are technologically equipped in good time, you should get to grips with the topic at an early stage.  <\/p>\n\n<div class=\"wp-block-group summary-block-outline is-layout-constrained wp-block-group-is-layout-constrained\">\n<p class=\"wp-block-paragraph\"><strong>The advantages of EDI summarized:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>With EDI, you can send and receive e-invoices directly via your ERP system in a legally compliant manner.<\/li>\n\n\n\n<li>EDI enables automated, transparent processes with which compliance can be tracked.<\/li>\n\n\n\n<li>Secure communication channels as well as authentication and encryption methods ensure data protection compliance.<\/li>\n\n\n\n<li>They meet the requirements of the legislator one hundred percent.<\/li>\n<\/ul>\n<\/div>\n\n<h2 class=\"wp-block-heading\">Conclusion: the relevance of EDI will continue to increase<\/h2>\n\n<p class=\"wp-block-paragraph\">Electronic data interchange will <strong>become increasingly important<\/strong> in the coming years. With EDI, companies are not only able to optimize their processes and comply with legal requirements. They also improve their competitiveness and thus secure the future of their business.  <\/p>\n\n<p class=\"wp-block-paragraph\">Companies facing the challenges <strong>of complex supply chains and high transaction volumes<\/strong> in particular should already be considering the introduction of EDI. However, companies that have to comply with <strong>statutory e-invoicing obligations<\/strong> are also recommended to switch to electronic data interchange. <\/p>\n\n<p class=\"wp-block-paragraph\">In the future, companies will also benefit from the use of <strong>artificial intelligence (AI)<\/strong>. AI-supported systems will not only <g id=\"gid_1\">automatically record<\/g> incoming <g id=\"gid_1\">business documents<\/g>, but will also point out irregularities or errors in real time.
