With APplus 10, the ERP system becomes an active partner to its users

Karlsruhe, October 12, 2026 – Anyone who wants to operate successfully in the market during times of global economic crisis must harness the potential of current technological innovations and significantly increase the level of automation. However, individual projects—such as those involving the implementation of AI agents—are time- and resource-intensive. With its new APplus 10 product generation, the Karlsruhe-based ERP specialist Asseco Solutions is opening up new opportunities for companies to benefit from AI-powered automation in a secure and controlled manner. By digitally mapping entire process chains, multi-step tasks can be automated end-to-end, actively supporting users in their daily work. Natively integrated AI is deployed precisely where it actually makes sense—without the need for time-consuming agent training. This is made possible by comprehensive innovations at the functional, data, and user interface levels of the process-oriented Flow Mode.

“There is no doubt that AI agents are revolutionizing the way we work and live,” explains Markus Haller, CEO and CTO of Asseco Solutions. “But just because a technology is available doesn’t mean it’s automatically the best solution for every application. The business context demands accuracy, repeatability, security, and certifiability. With APplus 10, we have therefore taken a different approach to automating business tasks effectively, securely, and in a controllable manner. The digital process is the linchpin here. It serves as the leading system that controls the workflow and brings together all relevant parties for true end-to-end automation: data, AI, and the user. “Those who have clearly defined processes that are executed in a controlled manner don’t need complex Agentic AI projects at all to effectively benefit from the efficiency gains of state-of-the-art AI in their day-to-day work.”

“Our process-oriented Flow Mode provides the key technical foundation for this,” adds Ralf Bachthaler, CSO of Asseco Solutions. “Until now, this has primarily been perceived as a new user interface: Instead of navigating through sometimes complex views, users are guided through their processes. This simplifies and speeds up daily work, but reducing Flow Mode solely to this advantage would be far too short-sighted. The true potential lies in the underlying digitization of processes via the BPMN model, which not only lays the foundation for comprehensive automation but also enables the controlled use of state-of-the-art AI. Flow Mode is not simply a new user mode. It is a technological shift in the ERP world.”

The ERP System Becomes an Active System

In the enhanced Flow Mode of APplus 10, individual processes are therefore no longer isolated but can be linked across hierarchical levels to form end-to-end process landscapes. For example, an ordering process mapped via Flow is no longer a standalone process but can be seamlessly linked to preceding and subsequent process stages such as ordering, goods receipt, or item management. The result is an end-to-end mapping of entire task areas. Context and parameters are passed down through multiple levels; thus, when switching to a sub-board, information such as location, warehouse, or item does not need to be reselected.

Users always know exactly where they are in the overall process. If a process step requires action on their part—such as a decision, a review, or data entry—APplus 10 automatically prompts them. Using a dynamic form, they immediately receive exactly the information required for that specific process step. In this way, APplus continues to evolve into an active partner for its users.

Integrate AI Instead of Just Implementing It

Just like human users, AI can also be integrated at any point within the new flow processes. The new AI Tasks make it possible to use AI processing steps as configurable building blocks directly within the Flow process—specifically at the points where AI support is truly meaningful and useful. Thanks to this native integration, users no longer need to operate a separate AI tool and copy its results back into their ERP system. The AI performs its task directly within the Flow process.

To provide concrete support to users, AI Tasks handle clearly defined tasks, ranging from researching information to filling in missing data. For example, when creating a new product, relevant information such as name, weight, dimensions, or descriptions can be automatically retrieved from a product catalog and pre-filled. In this way, AI helps speed up the processing of routine tasks.

Technically speaking, the request contained in the AI Task is sent to the AI model via a secure connection in the form of a prompt. By default, APplus uses 10 models from OpenAI, which, thanks to the enterprise agreement between Asseco and OpenAI, can be utilized without data flowing back into the model for training purposes. In addition, Asseco is exploring ways to support the integration of any models in the future, so that the most suitable model—including user-defined models—could be used for each task.

The use of AI remains flexible and manageable

By integrating AI into the digital workflow as a leading system, customers benefit from maximum flexibility in deciding which steps should actually be handled by AI and which should not. This offers a decisive advantage, particularly given the rising cost of tokens:

“Implementing a process step using AI when, objectively speaking, it doesn’t actually require AI makes no economic sense,” emphasizes Patrick Mathis, Principal Solution Consultant at Asseco Solutions. “However, this cannot always be avoided, especially with AI agents that process tasks autonomously. Even an action that actually requires only a single click in the ERP system then consumes tokens. Accordingly, we’ve opted for a different approach. In our system, the AI does not take over the entire process, but rather handles specific sub-steps for which it is actually needed. All other steps continue to run deterministically. As a result, the entire system remains explainable and describable at all times, which is also a decisive advantage for certifications.”

Documents as a Data Source

Data and documents are another key component of comprehensive end-to-end automation. With its new document management solution, “APplus Documents,” Asseco now integrates the document level into its flow processes, making the information contained therein directly accessible to the defined workflows.

To this end, APplus Documents combines audit-compliant document storage functions with intelligent document processing: Content is automatically recognized, assigned to the appropriate processes, and made available directly in APplus for further processing—without having to go through a separate DMS. With the help of AI, content is automatically made available for further processing as documents are scanned. The traditional document-centric approach thus evolves into an information-oriented approach.

Overview of Additional Features

In addition, APplus 10 offers numerous other new features at the functional level. These include, among others:

  • Timer Events: Using the new timer events, process steps can be automatically triggered at a defined time or when a specific status is reached. Manual initiation by the user is not required. For example, this allows you to automatically start review routines at the beginning of the week or check the document inbox at defined intervals to automatically classify newly reclassified documents using an AI task.
  • UI Automation: The new UI Automation feature allows users to easily automate recurring click sequences based on rules. Configuration can be done directly within the APplus interface. This offers particular advantages for mobile usability, as it reduces the number of required clicks and actions, which can quickly become cumbersome on mobile devices.
  • Process Forms: The new Form Designer allows you to create role- and situation-specific input and decision screens for flow processes (forms). In this way, APplus enables targeted human oversight of automated processes. As soon as a decision or user intervention is required, APplus proactively notifies the user with dynamically customized content and fields.
  • AEB Export Filling: With APplus 10, export declarations can be transferred directly from APplus to the AEB Export Filling solution. This feature replaces the previous system, which is limited to Germany and will be phased out starting in 2026. In addition, the AEB Export Filling system reduces the need for system changes, minimizes manual duplication of work, and cuts down on data entry errors, thereby speeding up the export process.
