Integrated document management

In addition to the specific order data managed in the database, the integrated document management enables the assignment and retrieval of all correspondence, requirement profiles, drawings, e-mails and project plans in the context of corresponding business transactions for each order, project or customer.

Incoming documents are assigned to a customer, a project or an order and saved. Documents created in your own company are automatically indexed.

Audit-proof archiving

The integration of document management has been designed in such a way that your documents can also be stored in audit-proof archiving systems. This fulfills the legal retention requirements and eliminates the need for additional paper filing.

Filing all tax-relevant documents therefore also fulfills the corresponding provisions of the Principles of Data Access and Auditing of Digital Documents (GoBD).

Research and direct access

All filed documents are automatically listed in the context of the respective master data (e.g. customers, suppliers or articles) or transaction data (e.g. sales activities, quotations, orders or purchase orders) based on the keywording in the filing system and can be displayed in the original with a single click on the link shown.

In addition, convenient search functions are available, allowing a complete customer history or seamless order tracking to be displayed at any time.

Extranet

A frequently used variant is the use of intranet technology for an extranet. This can be a portal for mobile employees or for a company’s distributed locations. Asseco uses the extranet in the form of a service marketplace, for example, in which employees and sales partners submit requests for project services, which are then forwarded to the appropriate experts depending on the qualification profile.

In addition, it is possible to offer customers and interested parties further information on products or companies as part of a store system. Service portals can also be easily set up with APplus. Here, for example, inquiries or spare parts catalogs are seamlessly merged directly with instructions, knowledge databases (FAQs) or general product information. This can go so far that an individual customer only has access to the history of the systems installed on their premises and the associated information (personalization).
